Project Overview

The International Youth Fellowship (IYF) Ghana — a chapter of the globally renowned youth development NGO operating in 95 countries — needed a comprehensive digital platform to manage large-scale youth events, simplify participant onboarding, and drive member engagement beyond physical gatherings.

Premier Tech Lab was entrusted with designing and delivering a unified solution:

  • A powerful Web CRM for camp and event management
  • A self-service registration portal for event participants
  • A feature-rich mobile app (IYF Connect) to support engagement, donations, and pledges

The Challenge

IYF Ghana runs national and international youth events that draw thousands of participants, including its flagship National Youth Conference – A Mind Education Bootcamp.However, their rapid growth outpaced the operational capacity of their largely manual systems:

Manual registration & grouping

Led to long queues, delays, and administrative errors during event check-ins — resulting in a disjointed onboarding experience for participants.

No centralized participant database

meant that information had to be repeatedly collected for each event, with little continuity or ability to track engagement history over time.

Accommodation allocation

was handled with paper lists and spreadsheets, making it difficult to enforce room limits, manage last-minute changes, or prevent overbooking.

Limited means of digital communication

with members and event participants outside physical gatherings led to low post-event engagement.

Donations & Pledges

were mostly handled offline, making it hard to track donor activity, manage causes effectively, or build recurring donor relationships.

Fragmented systems

across different teams and events caused inefficiencies and made it difficult to scale operations nationally, let alone across borders.

  • Built a dashboard to manage events, groups, subgroups, rooms, and participant limits
  • Enabled manual and auto subgrouping based on gender, age, and capacity rules
  • Developed flexible room assignment logic with per-event bed limits and real-time availability
  • Gave admins full visibility into participant distribution and accommodation

Web Self-Service Registration Portal

  • Created a user-friendly portal for pre-registration, profile setup, and confirmation
  • Added smart validation to auto-check subgroup and room capacity during registration
  • Integrated admin tools to monitor status, view assignments, and manage payments

IYF Connect Mobile App

  • Delivered in-app event registration with auto-filled profile data for returning users
  • Added a live content feed for news, updates, and community engagement
  • Enabled donations and pledges to causes directly from the app
